By the end, every new lead is copied to another system as it arrives: a row in a Google Sheet, or a call to your own CRM. You'll be able to see each send and resend any that failed.
You'll need
- To be an owner or manager.
- For a Google Sheet: a Google account. Sheets are available on every plan.
- For your own CRM: custom integrations on your plan. Both Send to an integration and Send a webhook need it.
1a. Connect a Google Sheet
- On External systems, press Connect and choose Google Sheets. Sign in with Google and approve access.
- Press Configure on the new connection. Use Choose from Google Drive to pick an existing spreadsheet, or Create spreadsheet to make a new one. Rows can only be written to sheets chosen or created here.
Each row holds when it was recorded, the event, name, email, phone, stage, status, score, campaign and other details.
1b. Or connect your CRM
The simplest way is a webhook: press Connect, choose Webhook endpoint and fill in its details. Each lead is sent as signed JSON.
To shape the request to fit your CRM's API, build a custom integration: 1. Press New definition. Choose Outbound, enter the Base URL and choose the Auth type. Create it. 2. On its page, press New Secret and store the API key or token. Then press Edit and point the authentication at that secret. 3. Press New endpoint. Give it a Key, Label and Path, choose POST, and use the Body template to build the request from the lead's details. 4. Press Test on the endpoint to send one real request and see the response.
2. Build the workflow
- On Workflows, press New workflow.
- Set When to A lead arrives. Leave Applies to as Every lead, or pick one campaign.
- Press Add an action and choose one:
- Add a row to a spreadsheet: pick the sheet. Tick Keep one row per person up to date to update a person's row (matched by phone) instead of adding a new row each time.
- Send a webhook: pick the webhook connection.
- Send to an integration: pick your endpoint.
- Press Create workflow.
Imported spreadsheets run lead-arrived workflows too, so an import sends every row.
3. Test it
- On the workflow's page, use Test on a lead to check it would run for a recent lead.
- Add a real test lead with New lead on Leads, using your own details.
Check it worked
- The new row appears in your sheet, or the record appears in your CRM.
- The workflow's Last few runs shows Worked. Open a run to see each action's outcome.
- For webhooks and custom integrations, Integration logs shows every call, with the request and response.
If something goes wrong
- Open the failed run from Activity to see why. Integration logs shows the other system's answer.
- Failed sends are retried a few times on their own. Once the other system is fixed, press Retry on the workflow's page (it shows how many runs failed) to resend the last 7 days' failures.
- If a connection's credentials were rejected, save new ones on its Configure page, or Connect Google again.

Or ask the assistant: it can do these steps for you, asking before each change.
